How can AI help in property management?

Four examples from everyday property management. Decisions, conversations and the eye on the property stay with you, and AI makes room for them.

Tenant enquiries and damage reports

Emails and calls are sorted, assigned to the property and prepared with a draft reply in your own tone.

Handovers and inspections

Voice notes and photos become a report with meter readings and defects before you are back at the office.

Owners’ meetings

Prepare the invitation and agenda, write draft minutes from your notes and record resolutions properly.

Contracts and documents

Search leases, declarations of division and resolutions in seconds, with a reference to the exact passage.

How much time can your property management gain?

Enter what you manage. The calculator estimates how much time goes into recurring paperwork today and how much of it AI can take off your team.

How we calculate: adjust the assumptions

The values above are assumptions, not measurements. For each tenant change we count two reports, and for each association one meeting a year, the minimum required by section 24 of the German Condominium Act (WEG). How much AI takes over is also an assumption, after review by a person: enquiries 30 to 50 %, work orders 40 to 60 %, reports 40 to 60 %, receipts 50 to 70 %, statements 25 to 40 %, meetings 30 to 50 %. Calculated with 46 working weeks a year and 40 hours per working week.

An estimate based on assumptions you can adjust above. It gets more precise with your own hours in the free AI check or in the AI potential analysis.

Example: From the damage report to the work order

This is how the AI agent and your team work hand in hand: The agent does the groundwork, your team decides. Together we work out what fits your property management.

AI agent worksYour team decides

  1. 01AI agent

    Take the report

A tenant reports a water stain on the ceiling. The AI agent asks about the flat, the location, photos and whether it is still dripping.

  2. 02AI agent

    Open a case

It assigns the report to the property and flat, finds earlier damage and suggests how urgent it is.

  3. 03Your team

    Decide

Your team checks the photos and decides whether a contractor comes and who.

  4. 04AI agent

    Prepare the messages

It drafts the work order for the contractor and the message to the tenant with the next step.

  5. 05Your team

    Check and send

The property manager checks, changes what is needed and sends it.

Frequently asked questions

How can AI help in property management?

Above all with writing and sorting: assigning and answering tenant enquiries and damage reports, writing handover and inspection reports from notes, recording receipts, preparing invitations and minutes for owners’ meetings and searching documents quickly. That leaves more time for owners, tenants and properties.

Which AI is right for property management?

That depends on the task. For emails, reports and invitations, ChatGPT or Microsoft Copilot with a business account is often enough. Many property management programs come with their own AI features. For calls there are phone assistants. We are technology-neutral and recommend what suits your property management and your software.

Will AI replace property management?

No. AI takes over writing and sorting, not the inspection, the conversation with owners or the decision about a repair. It gives your team time for what only people can do. Responsibility stays with you: Every draft is checked by a person.

Is there an AI phone assistant for property management companies?

Yes. A phone assistant can answer calls, take down the request and, for damage, the key details, and suggest a call-back, even outside office hours. Whether this pays off for your property management and which solution fits, we work out in the AI potential analysis.

How much time does AI save in property management?

That depends on how many units, associations and tenant changes you look after. With 300 residential units and 12 owners’ associations, our calculator arrives at 11.5 to 17.5 hours a week, 520 to 820 hours a year, before any tenant changes. Work out your own figure above, and get a more precise one with the free AI check.

May tenant data go into ChatGPT?

It is best to replace names, addresses and bank details with placeholders. Personal data only belongs in tools with a data processing agreement, in other words a business account, not a free version. The guide Data processing with AI providers shows how, using a property management company as the example.

What does my team learn in the AI workshop for property management companies?

In half a day your team works on its own tasks: tenant enquiries, reports and invitations with ChatGPT or Copilot, plus clear rules for tenant and owner data. At the end you have a list of the tasks that pay off first in your property management. No prior knowledge is needed.

Does the workshop count towards the training obligation under section 34c of the German Trade Regulation Act?

Residential property managers and the staff involved must complete 20 hours of training within three years, while the obligation for estate agents ended on 24 July 2026. Which content counts is set out in Annex 1 of the Brokers and Developers Ordinance (MaBV), and AI is not named there specifically. So it is best to check with your chamber of commerce (IHK) beforehand whether an AI workshop will be recognised.

Does AI also help estate agents?

Yes, above all with writing: drafting property listings and adverts from your details, answering enquiries from prospects and following up on viewings. You check the details in the listing yourself, because AI can make mistakes. The workshop can be tailored to an estate agency.

Do property management companies have to train their team in AI?

Under Article 4 of the EU AI Act, anyone who uses AI, even just ChatGPT, must take measures that support the AI literacy of their staff. No specific training is required. The AI training under the EU AI Act is one such measure.

What does an AI workshop for property management companies cost?

Prices are not listed on the website. When you enquire, we give you an indication, and the quote then contains a fixed price. The AI check and the 30-minute AI conversation are free.
