Practices make more time for patients with AI

AI prepares letters, call-backs and patient information. That leaves doctors and the practice team more time for the people in the practice.

Practices do not lack competence. What holds them back are the many minutes on the phone and at the desk before the actual work begins.

Creating more time for patient care

In practices, a lot of time goes on tasks that have little to do with treatment: Call-backs, prescription requests, letters to health insurers, reminders, notices and quality management. At the same time, many practices are short of medical assistants. With AI, many of these texts can be prepared as drafts that the team only needs to check.

Doctors draft letters and reports from bullet points. The reception team works with phone scripts and reply templates. lindenbrook helps bring such tools safely into everyday practice, with clear rules on data protection and medical confidentiality.

Five tasks where AI saves practices time

Examples from GP and specialist practices. AI drafts, the practice team checks and decides.

Appointment and prescription requestsAI sorts the messages that have come in since Friday and drafts replies with free slots. What you gain: The phone line stays free for patients who call.

Recall for check-ups and vaccinationsAI writes reminders for check-ups, flu jabs or appointments in disease management programmes (DMP), with an approved template for each occasion. What you gain: Reminders go out regularly instead of being left undone.

Many teams already use AI, often with private accounts and without shared rules. That is exactly where we start.

Embedding AI across the whole practice team

lindenbrook designs the introduction starting from your everyday practice. In a potential analysis, we look at reception, phone, documentation and recall and clarify which tasks are suitable and where the judgement of the doctor or the team remains indispensable.

The team then practises in the workshop with tasks from its own practice, without real patient data. For owners and management, we draw up an AI policy with approved tools, a notice for patients and proof of the training.

AI does not replace the conversation with patients. It creates time for it.

Working safely with AI in the practice

Health data is specially protected. The practice is responsible for every result that leaves it. AI does not change that. Our workshops and rules are built around this.

Maintaining medical confidentiality

Under Section 203 of the German Criminal Code (StGB), external providers may only learn as much patient data as is necessary. The practice must also oblige them to confidentiality. In addition, a data processing agreement under the GDPR is required. Under Section 393 of Book V of the German Social Code (SGB V), cloud services need processing in the EU or an equivalent country and a C5 attestation, the cloud security standard of the German Federal Office for Information Security. Your inputs are never used for training and are processed in the EU wherever possible. Private or free AI accounts remain off limits for patient data.

Medical decisions stay with you

lindenbrook does not develop software for diagnosis or treatment. AI drafts texts, and the team checks every draft before it is sent. AI does not pass on medical assessments to patients.

Informing patients

As a rule, informing patients is enough, for example with a notice. An AI phone assistant identifies itself as AI. Consent may be required if conversations are recorded or data is used for training.

Setting clear rules for the whole team

Your AI policy sets out which tools are permitted and which data may go into them. Workshops with certificates of attendance document the measures for AI literacy under Article 4 of the EU AI Act.

We show what the National Association of Statutory Health Insurance Physicians (KBV), the German Medical Association and the data protection authorities recommend and how it works in everyday practice. The legal assessment of each individual case is made by your practice together with your data protection officer.

Common questions

What does lindenbrook offer practices?

lindenbrook, based in Oberursel near Frankfurt am Main, supports medical, dental and therapy practices and medical care centres (MVZ) in introducing AI: With a potential analysis, a workshop for the whole practice team, AI rules for owners and management and, on request, custom applications for patient information, recall and organisation. On site in Frankfurt and the Rhine-Main region or online.

How does introducing AI in a practice work?

In three steps: A one-day potential analysis in your practice shows which tasks are worthwhile. A half-day workshop prepares the whole team, without real patient data. AI rules for owners and management set out which tools are permitted. On request, we then develop custom applications for your workflows.

Can patient data go into AI tools?

Only with clear rules. You need a data processing agreement and an obligation of confidentiality under Section 203 of the German Criminal Code (StGB). Under Section 393 of Book V of the German Social Code (SGB V), cloud services need processing in the EU or an equivalent country and a C5 attestation, the cloud security standard of the German Federal Office for Information Security. Your inputs are never used for training and are processed in the EU wherever possible. Private or free AI accounts are off limits for patient data. Sources: § 203 StGB (German) , § 393 SGB V (German) , GDPR, Art. 28

Do patients have to consent?

As a rule, informing patients is enough, for example with a notice in the practice. Consent may be required if conversations are recorded or data is used for training. Phone assistants identify themselves as AI. We clarify individual cases with your data protection officer.

What can medical and dental assistants do with AI?

Using approved tools, they can draft letters, patient information, recall texts, notices, rotas, quality management documents and job adverts. AI does not pass on medical assessments to patients. A person checks every text before it is sent. Practice management decides which tools are permitted.

Does that make an AI application a medical device?

It depends on the purpose. Software that supports diagnosis or treatment decisions can count as a medical device. lindenbrook develops applications for documentation, communication and organisation. Medical decisions stay with you.

Does our practice have to train the team in AI?

Under Article 4 of the EU AI Act, anyone who uses AI must take measures that promote the AI literacy of the team. No specific course is required. A workshop with a certificate of attendance is an obvious and well-documented measure.
