Since 1999, PGL (Praxis für ganzheitliches Lernen, a practice for holistic learning) in Oberursel near Frankfurt has supported children and young people who find reading, writing or maths hard. Today, parents book their consultation themselves. That gives the team more time for the work that matters.
From enquiry to booked appointment, all automatic.

A lot of admin before the first conversation
PGL helps children and young people with dyslexia, dyscalculia or difficulties concentrating, through learning therapy, motor therapy and social skills training. It almost always starts with a consultation call with the parents, in which a therapist works out whether and how PGL can help the child.
Before that call could happen, there was a lot of work for the PGL team. Reading enquiries, calling parents back, agreeing on a free slot, entering it and sending reminders. All of it on top of the therapy sessions.

Movement is part of it too, for example in motor therapy.
For PGL, we automated the path to the first conversation. Parents introduce themselves, choose a time and get a reminder in good time. The team still sees every step.
This was possible because we moved PGL’s website onto our own technology. That let us develop the booking around the way PGL actually works.
Parents book when it suits them. Even in the evening at the kitchen table.

Reminder the day before
Your consultation is tomorrow
Thursday, 15 October, 10:30. We will call you on the number you gave us.
The day before, the website sends a reminder. So no appointment slips through.
A process that runs itself
Seven steps per enquiry have become one: the conversation itself. Parents and website handle everything before it. With around eight enquiries a week, that is around four hours less admin, week after week.

If none of the free slots works, parents join a waiting list. As soon as PGL opens new times, they get an email with the link to choose one.
The form, the booking and every email to parents are available in German, English, Turkish, Ukrainian and Russian.
“The admin now runs almost by itself. That leaves more time for personal contact, with the children and with their parents.”
– Christina Kleemann, owner of PGL
A website that does the work
Most practice websites show information. PGL’s website gets tasks done. Everything that comes in through the site lands, neatly sorted, in a board only the PGL team can see.
Since October, the website has been available in five languages. Families who speak English, Turkish, Ukrainian or Russian at home can read in their own language how PGL works and book the first appointment themselves. The therapy itself takes place in German.
The PGL team edits texts and images itself, right on the page. No agency needed, no call to us. Three examples from the board:

Developed with AI
We developed the website, the board and the processes with AI, as part of our AI design & development solution. The result fits exactly how PGL works.
Built around PGL
No standard software PGL has to adapt to. New building blocks are added as soon as they are needed.
Care with data
Database in Frankfurt, a deletion policy, applications visible to management only. The team follows clear rules for Microsoft 365 and Copilot.
~4hours less admin per week
